Information we collect
We collect only what we need to provide our services.
When you use our contact form
Our contact form asks for your name, email address, the number of cats in your household, an optional phone number, and any message you'd like to share. This information is sent directly to our email inbox so we can respond to your inquiry.
When you book through Square
Appointment booking and payment processing are handled by Square, Inc. When you book a visit through our Square scheduling page, Square collects your name, email address, phone number, billing address, and payment card information. Square stores this information on our behalf in accordance with Square's Privacy Policy.
Your card is saved with Square so that we can charge it for completed visits according to the schedule described in our terms of service, and to apply any cancellation fee that may be due under those terms. We do not store your full credit card or debit card numbers on our own systems. We see only the limited card information Square exposes to us, such as the last four digits and expiration date.
When you sign a service agreement
Before your first paid visit, we send you a service agreement to review and sign by email. The agreement captures the care information you shared during your free in-home consultation, including your contact details, home address, the names of your cats, your veterinarian's contact information, the limit you set for emergency veterinary care, any medications or care notes, your home access method and access details, emergency contact information, and your photo release preference.
When you sign, we also capture your typed printed name, a digital signature image you draw on the signing page, the IP address and browser of the device used to sign, the timestamp of your signature, and a snapshot of the terms of service in effect at the time, bound to your agreement. This information serves as evidence that the agreement was signed and by whom.
Your signed agreement is stored as a PDF in a private location on our server that is not accessible from the public website. A copy is emailed to you for your records when you sign.
When you visit our website
Our website loads fonts from Google Fonts, which may collect standard web traffic data such as your IP address. We do not use cookies for tracking, advertising, or analytics at this time.
How we use your information
We use the information we collect to provide and improve our services. This includes responding to your inquiries, scheduling and providing cat sitting visits, conducting in-home consultations, communicating with you about your appointments and your cats, sending photo updates during visits, processing payments, sending and retaining signed service agreements, and acting on the veterinary care authorization you provide in your service agreement if an emergency arises.
We also use your information to comply with our legal and tax obligations, to maintain records that support our financial and business operations, and to resolve disputes or enforce our agreements when necessary.
Who we share your information with
We do not sell, rent, or trade your personal information. We share your information only as described below.
We use trusted third-party service providers to help us operate our business. These include Square for appointment scheduling and payment processing, our web hosting and email provider for delivering the website and the emails we send you, and similar providers as needed. These providers receive only the information necessary to perform their services and are not permitted to use your information for their own purposes.
We may also disclose your information when we believe disclosure is required by law, court order, or government request, or when we believe it is necessary to protect our rights, your safety, or the safety of others.
If we sell or transfer all or part of our business, your information may be transferred as part of that transaction. Any successor will be bound by this policy unless and until it is updated.
How we protect your information
We take reasonable steps to protect the personal information you share with us. Payment processing is handled through Square's secure, PCI-compliant platform, and we do not store full card numbers on our own systems.
Signed service agreements and the information they contain are stored in a private area of our server that is not accessible from the public website, and access is restricted to authorized personnel. Communications between you and our website are protected in transit by HTTPS encryption.
No method of transmission or storage is completely secure. While we work to safeguard your information, we cannot guarantee absolute security.
How long we keep your information
We retain personal information for as long as necessary to provide our services, comply with our legal and tax obligations, resolve disputes, and enforce our agreements. The retention period varies by the type of information.
Records that support our tax filings, including invoices, payment records, and signed service agreements, are retained for the period required by applicable federal and Minnesota state tax law, which is generally a minimum of seven years from the date of the record.
Client contact and service records are retained for the duration of our service relationship and for a period thereafter consistent with applicable statutes of limitation and our tax recordkeeping obligations. Inactive client records may be deleted after these periods expire.
Inquiries from prospective clients who do not engage our services are retained at our discretion for legitimate business purposes such as follow-up and reference.
Your rights
You may contact us at any time to request access to the personal information we hold about you, to request correction of inaccurate or incomplete information, or to request deletion of your information. We will respond to your request within a reasonable period.
We will honor deletion requests except to the extent we are required or permitted to retain the information to comply with our legal and tax obligations, to resolve disputes, to enforce our agreements, or to protect against legal claims. If we cannot delete some of your information for these reasons, we will tell you what we are keeping and why.
Requests may be sent to hello@eagancatsitters.com. We may ask you to verify your identity before acting on a request involving personal information.
Children's privacy
Our services are not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us so we can delete it.
Changes to this policy
We may update this policy from time to time. Changes will be posted on this page with a revised "last updated" date at the top.
For changes that materially affect how we collect, use, or share your personal information, we will provide additional notice to active clients, such as by email, before the changes take effect. Continued use of our services after a change has been posted and any required notice has been given constitutes acceptance of the revised policy.
